HQ.training vs Mindbody

A price on the page, and coaching in the same place

Mindbody, part of Playlist with ClassPass and EGYM, brings studios new clients through its consumer app and prices its tiers by conversation, from $79 a month per location. HQ is $59 a month, published, and gives every trainer coaching tools and members’ wearable data alongside the timetable.

The short version

HQ is the better pick if

  • You want the whole price without a sales call.
  • You’d rather not start on a 90-day term with 30 days’ notice and fees that aren’t refunded.
  • Your trainers program members and want workouts, wearables and fitness charts on the same account.
  • You want every member’s risk of leaving scored for you, without moving up a tier.

Mindbody is the better pick if

  • You want new clients from the Mindbody app and ClassPass, at 20% of a new client’s first purchase, capped at $30.
  • You need payroll sent straight to ADP or Paychex rather than a CSV.
  • You run several locations, a spa or a salon.
  • You want automated email and text campaigns, or an AI front desk.
  • You need a public API.

What sets them apart

What you pay, and for how long

Mindbody publishes one figure, from $79 a month per location, and quotes each tier. Its terms start with 90 days, renew every 30 with 30 days’ notice, and keep fees already paid; a signed order form can set a longer term. HQ is $59 a month or $590 a year, and you cancel from the billing page.

The marketplace trade

The Mindbody app and ClassPass bring studios new clients, and that reach is real: Mindbody says more than 3 million people use its app. The price is 20% of a new client’s first purchase, capped at $30. HQ has a public gym page and a directory, but no booking marketplace.

Coaching on the same account

Mindbody has no programming of its own and points to Trainerize, an ABC Fitness product sold separately. On HQ every trainer gets structured workouts, plans and each member’s training data with the Gym & Studio plan.

Leaving

Mindbody’s terms keep your data available for 30 days after you end, with a full export by request and an agreed scope of work. Plan the export before you give notice.

Moving from Mindbody

  1. Export before you give notice

Mindbody’s terms give you 30 days after termination to get your data, and a full export needs a request and an agreed scope of work. Ask for it first.

  2. Mind the notice period

The standard terms renew every 30 days after the first 90 and need 30 days’ notice. A signed order form can set a longer term, so check yours.

  3. Start on HQ

Gym & Studio is 14 days free, then $59 a month or $590 a year, with no contract to sign.

Questions

How much is Mindbody compared with HQ?
Mindbody publishes a starting price of $79 a month per location and quotes each tier after a call; its branded app and AI Concierge are add-ons on some tiers. HQ is $59 a month for the whole gym, or $99 with more AI.
Will I lose ClassPass?
HQ doesn’t connect to ClassPass or other aggregators. If many of your bookings come through them, weigh that first.
Does HQ take a cut of bookings?
No. Members pay you through Stripe at Stripe’s rate, and HQ adds nothing, however they found you.
Can HQ do my staff payroll?
It works it out. Staff clock in and out, or are paid from the rota, and each person can earn by the hour, by the class, by the PT session and in commission on their sales. The payroll report covers any period and exports as CSV. HQ doesn’t pay anyone, so the pay itself goes through your payroll provider or bank, and there’s no direct link to ADP or Paychex.
